Event Production Services at Hilton Waikoloa Village
AVS Audio Visual Services Hawaii provides audio, LED video, projection, cameras, lighting, and technical crew for conferences, incentive programs, and multi-day corporate events at Hilton Waikoloa Village on the Kohala Coast.
With about 66,000 square feet of indoor meeting space, one of the largest on the Big Island, plus more than 175,000 square feet of outdoor and pre-function areas across 62 acres, Hilton Waikoloa can host an entire conference in one place. That scale is also the production challenge: rooms are far apart, sessions run at the same time, and programs often move outdoors for the evening. Our Hawaiʻi Island team works out of a Kailua-Kona warehouse, so equipment and crew don't have to come from another island or the mainland.
General Sessions in the Tiered Grand Ballroom
The Grand Ballroom's tiered seating levels change how a general session has to be designed. Attendees in the back sit higher than the stage, so loudspeakers are aimed at each level, and screens are placed so presentation content stays readable from the top tier. AVS builds these systems with d&b audiotechnik loudspeakers, Yamaha digital consoles, and Shure Axient Digital wireless, paired with INFiLED 2.6mm LED walls or Barco 4K laser projection. Sony HDC-3100 cameras feed IMAG, so presenters stay visible across a room that seats up to 2,400 theater-style.
The ballroom divides into seven sections for breakouts. We can plan the general session system so it can be broken down into breakout packages without a full reset.
When the Program Moves Outside
Many Waikoloa programs end the day outdoors. Naupaka Point, an oceanfront lawn that holds up to 1,000 for receptions, and the Grand Staircase beside the resort's saltwater lagoon look very different at sunset than after dark. AVS plans lighting around that change, with battery-powered uplights, pathway lighting, and stage lighting for entertainment. Indoors, the same team handles presenter lighting, stage washes, intelligent fixtures, and branded room color for awards dinners and evening events.
Matching the Room to the Session
Most large programs use the Grand Ballroom for general sessions, the Monarchy or the Kohala and Kona Ballrooms for concurrent sessions, and the Grand Promenade for registration and exhibits.
-
Grand Ballroom: About 24,720 square feet with tiered seating and a 30-foot ceiling, divisible into seven sections. It supports keynotes, awards shows, and banquets with full LED, audio, and lighting systems.
-
Grand Promenade: About 15,480 square feet of pre-function space for registration, sponsor displays, and exhibits, where wireless audio and digital signage keep attendees moving.
-
Monarchy: About 12,730 square feet for secondary general sessions, dinners, and major concurrent sessions.
-
Water’s Edge Ballroom: About 10,584 square feet for smaller sessions and dinners. The boardroom's floor-to-ceiling lagoon windows mean screen placement and brightness need to account for daylight.
-
Kohala & Kona Ballrooms: Flexible spaces with partitions for conference tracks and meal functions, supported by matched AV packages.
-
Naupaka Point & Outdoor Areas: Oceanfront and lagoon-side spaces for receptions, dinners, and destination events, where power, wind, and weather planning are part of the production.
Why a Kona-Based Crew Matters Here
-
Inventory up the coast, not across the ocean: Equipment comes from our Kailua-Kona warehouse along Queen Kaʻahumanu Highway, so last-minute additions don't depend on inter-island freight.
-
Built for agenda changes: When a breakout gets added, or a session moves rooms, local inventory and crew can respond the same day.
-
Coordination with the hotel: We work with the resort's event and in-house teams on access, power, internet, patching, and built-in systems.
-
A local partner for mainland producers: Agencies can ship only their specialty elements and source the core production and crew on the Big Island.

Frequently Asked Questions
Can we bring an outside AV company to Hilton Waikoloa Village?
Yes. Many resorts have an in-house AV partner, and hotel contracts can include fees or requirements for outside vendors, such as power, patching, or rigging through house providers. Review the AV clause in your hotel contract early. AVS coordinates directly with the resort's teams so responsibilities are clear before load-in.
How is AV handled for breakout sessions at Hilton Waikoloa Village?
Breakouts here often happen in partitioned sections of the Grand Ballroom, which divides into seven sections, or in the Kohala and Kona Ballrooms, with smaller meetings in rooms like the Water's Edge Boardroom. AVS gives every room the same audio and projection setup, so presenters don't have to adjust between sessions.
Does AVS have equipment on the Big Island?
Yes. Our warehouse is in Kailua-Kona, about a 30-minute drive from Waikoloa, so equipment for Hilton Waikoloa Village events doesn't have to be shipped from another island or the mainland.
