Event Production Services at Fairmont Orchid, Hawaiʻi

AVS Audio Visual Services Hawaii provides audio, LED video, projection, cameras, lighting, and technical crew for conferences, incentive programs, and evening events at Fairmont Orchid in the Mauna Lani Resort on the Kohala Coast.

The resort has 21 event venues across 110,000 square feet, including a 14,000-square-foot ballroom, a 138-seat theater, and a 21,600-square-foot shoreline lawn. Each one needs a different production plan, so AVS designs room by room rather than applying one package everywhere. Our Hawaiʻi Island team works from a Kailua-Kona warehouse less than 30 miles away along Queen Kaʻahumanu Highway.

General Sessions in the Grande Ballroom and Its Three Salons

The Grande Ballroom seats up to 1,170 theater-style and has its own entrance on the lobby level. For general sessions, AVS uses d&b audiotechnik loudspeakers with fills for even coverage, mixed on Yamaha digital consoles with Shure Axient Digital wireless. Content runs on INFiLED 2.6mm LED walls or Barco 4K laser projection, with Sony HDC-3100 cameras feeding IMAG.

When the ballroom splits into Salons I, II, and III, each room gets its own matched presentation package, and the Plaza and Promenade Ballrooms add six more breakout rooms when divided. We keep content, playback, and recording workflows consistent across every room, including the Lehua Theatre.

Event Lighting & Atmosphere Control

In the Grande Ballroom, AVS provides camera-ready presenter lighting, stage washes, and intelligent fixtures for general sessions and galas. For evening events at Turtle Pointe and Coconut Grove, the most effective design is selective rather than excessive.

Battery-powered uplights in the palms, pathway lighting, stage focus for entertainment, and accents on the lava rock shoreline make the event feel finished while the Kohala Coast stays the backdrop. At Turtle Pointe, we plan around the sunset view toward the ocean and Maunakea, then let the lighting take over as daylight fades.

Kohala Coast Support From Kailua-Kona

  • Under 30 miles up the highway: Equipment comes from our Kailua-Kona warehouse along Queen Kaʻahumanu Highway, so last-minute additions don't depend on inter-island freight.

  • Built for programs that move: A day can go from the Grande Ballroom to the Lehua Theatre to Turtle Pointe, and one AVS crew covers all of it.

  • Coordination with the resort: We work with Fairmont Orchid's event and in-house AV teams on access, power, internet, patching, and the Lehua Theatre's built-in systems. Rigging is performed by the resort's required provider, and we manage the advance, weight information, and logistics.

  • A Big Island partner for DMCs and agencies: Mainland producers get a local technical lead from planning through strike.

Get a Production Plan for Your Fairmont Orchid Program

Whether your program centers on the Grande Ballroom, uses the Lehua Theatre for education sessions, or closes with a gala at Turtle Pointe, AVS builds one production plan for the full experience. Send your agenda, room diagram, or RFP, and our Hawaiʻi Island team will reply with a recommended approach, including what the theater's built-in system covers and what we'd add.

Frequently Asked Questions

Who provides AV at Fairmont Orchid, and can we bring our own company?

The resort has in-house audio-visual services, and planners can also bring an independent provider like AVS Audio Visual Services Hawaii. Hotel contracts can include fees or requirements for outside vendors, such as rigging through house providers, so review the AV clause before signing.

Why choose AVS for an event at Fairmont Orchid?

AVS combines Hawaiʻi Island resources with experience supporting ballrooms, fixed-seat presentation environments, and outdoor destination events. That allows one technical partner to support very different parts of the same program. For mainland producers, agencies, DMCs, and corporate teams, AVS can also serve as the on-island technical partner supporting the program from preproduction through strike.

Can sessions in the Lehua Theatre be recorded or livestreamed?

Yes. The theater's built-in system handles presentation and sound, and AVS adds cameras, switching, and recording or streaming equipment, keeping everything compact for the room's low ceiling.

Can AVS customize the technology and design around our brand?

Absolutely. Branded LED content, lighting looks, scenic integration, presentation environments, stage layouts, and sponsor visuals can all be coordinated around the event identity.
